The Executive, Administration will provide high level, confidential administrative support to Top Management.

Duties can be clerical, administrative and project based and include scheduling travel, meetings, handling information requests, preparing reports and correspondence and liaising with Top Management members. This position is often privy to confidential information and as such requires diplomacy and discretion.



Key Responsibilities:

  •  Schedule and manage Top Management calendar, prepare meeting agenda and provide the needed background information to the Top Management prior the meeting(s), ensuring that the Top Management is briefed of the daily schedule to be on time for the meeting(s)
  • Responsible to arrange travel and logistics for e.g. flight(s) booking, car rental, hotel accommodation(s), meetings arrangement, completing expense report(s) for reimbursement after the trip(s)
  • Interact with Top Management members and their personal assistants in terms of scheduling for board/MCC/CDC etc meetings, handling of logistics for the meetings, sending materials for review prior the meetings
  • Perform other duties as assigned e.g. arrange logistics for visitors, co-ordinate conference calls etc.



The Ideal Candidate Should Have/Be:

  • Private Secretary Diploma
  • 8 years or more in supporting senior managers/management preferred
  • Proficient in MS Excel, MS powerpoint and MS Words
  • Good people and communication skills
  • Ability to work in fast paced environment
  • Ability to handle pressure
  • Ability to multi-tasks, handle confidential information, manage upwards
  • Team player
